Office Manager – Part-time, Permanent

Willis Law seeks a part-time Office Manager to join our south Edmonton law firm.

Job Description

This role requires a polished and professional individual to help keep the office running smoothly for three lawyers and four support staff. This is a part-time position (hours are 10 am to 2 pm, Monday to Friday; however, this is negotiable).

Duties include, but are not limited to:

  • Bookkeeping and accounting duties such as payroll, accounts payable and accounts receivable
  • Coordination with our IT service provider
  • Facility support and administration
  • Procurement of office supplies as needed
  • Hiring and training of new employees
  • Marketing duties, such as maintenance of the firm website, managing email lists and organizing events
  • Other duties as assigned

Requirements:

  • Post-secondary education in legal administration, business or other related discipline
  • Accounting or bookkeeping training and experience
  • Prior law firm or professional office experience (ie. engineering, accounting, etc.) is preferred
  • Strong interpersonal and communication skills (both verbal and written)
  • Solid computer and typing skills with proficiency in Microsoft Office applications
  • Excellent organizational skills
  • Ability to work independently, exercise sound judgement and take initiative
  • Ability to work within tight timelines while maintaining a sense of humour
  • Excellent work ethic
  • Experience with databases is an asset

Administrative Assistant – Full-time, Contract

Willis Law seeks an Administrative Assistant to fill a contract position in
our south Edmonton law firm.

We are looking for a professional individual to fill a 6-month contract with our team in a fast-paced, fun environment.

Job Description

This role requires a polished and professional individual to field client calls, maintain and organize schedules, and provide administrative support to lawyers. This is a full-time contract position (hours are 8:30 a.m. to 4:30 p.m. Monday through Friday) from approximately March 15, 2018 until September 15, 2018.

Duties include, but are not limited to:

  • General administrative duties including answering telephone calls, taking messages, scheduling client meetings, photocopying, filing, and interacting with clients
  • Drafting and proofreading correspondence and other legal documents
  • Preparing statements of account
  • Working closely with others to maintain and organize workflow
  • Conducting online searches
  • Attending to registration of documents at land titles (including liens and caveats)
  • Organizing and managing files
  • Other duties as assigned

Requirements:

  • Prior law firm or general office experience is preferred (but not required)
  • Strong interpersonal and communication skills (both verbal and written)
  • Solid computer and typing skills with proficiency in Microsoft Office applications
  • Excellent organizational skills
  • Attention to detail, with an emphasis on proofreading and accuracy
  • Professionalism when interacting with clients in person and by telephone and email
  • Ability to work independently, exercise sound judgement and take initiative
  • Ability to work within tight timelines while maintaining a sense of humour
  • Excellent work ethic
  • Experience with databases is an asset
